Rental Terms & Refund Policy

How our deposits, refunds, allocation and cancellations work — written plainly so there are no surprises when you book a truck.

These terms set out the deposit, refund and cancellation arrangements that apply when you hire a 34 ton side tipper truck or trailer from Tipper Truck Hire SA. They form part of your rental agreement. If anything here is unclear, please contact us before paying — we're happy to talk it through.

Refundable security deposit

A refundable security deposit of R30,000 per truck is payable before a unit is released to you. The deposit protects against damage, loss and breaches of the hire terms. Provided the unit is returned in the same condition it left our yard — fair wear and tear excepted — and all contractual obligations are met, the deposit is refunded in full.

What can affect your refund

Deductions may be made from the security deposit where, on return inspection, we find:

  • Damage to the truck, trailer, tipping mechanism, tyres or bodywork beyond fair wear and tear.
  • Missed maintenance checks — failure to allow scheduled servicing or daily operator checks during the hire period, where this has caused avoidable wear or damage.
  • Unrecovered traffic fines, toll charges or penalties incurred during the hire period.
  • Excessive cleaning required to remove abrasive or corrosive residue left in the body.
  • Outstanding rental amounts or charges due under the agreement.

Where a deduction applies, we provide an itemised breakdown so you can see exactly what was charged and why.

Non-refundable processing fee

A processing fee of R3,000 is non-refundable. This fee covers the administration, scheduling and reservation work involved in securing a unit for your project. It is separate from the security deposit and from your monthly rental, and is not returned regardless of how the hire concludes.

First paid, first served

Fleet availability is allocated on a first-paid, first-served basis. A quote or verbal booking does not reserve a unit — a truck is only held for you once the processing fee and security deposit reflect in our account. During busy periods units can be booked out quickly, so prompt payment is the surest way to secure the dates you need.

Cancellation terms

You may cancel a confirmed booking by written notice. On cancellation:

  • The R3,000 processing fee is forfeited in all cases, as the reservation work has already been performed.
  • The security deposit is refunded in full where the unit has not yet been dispatched and no costs have been incurred on your behalf.
  • Where a unit has been mobilised, prepared or relocated for your project, reasonable costs already incurred may be deducted before the balance of the deposit is returned.

How and when refunds are paid

Refundable amounts are paid by electronic transfer to the originating account once the return inspection is complete and any deductions agreed. We aim to process refunds promptly after the unit is returned and inspected. Bank clearance times may apply.

These terms are provided as a summary for convenience. Your signed rental agreement is the binding document — where any difference arises, the signed agreement prevails. For clarification, contact us before paying.
